Welcome pack checklist

Providing the right information for your new starter will help them feel comfortable and confident when they join the organisation.

Using the checklist below, work with colleagues in your HR or recruitment team to arrange who will collate this information and send this to the new starter.

Checklist

  1. Conditional offer letter.
  2. Equal opportunities monitoring form.
  3. Two copies of their contract (one to be returned, one for their records) with a summary sheet of key information such as rate of pay, pay date, holiday entitlement, working hours.
  4. Map and directions to the organisation, including specific department details.
  5. A copy of the job description, person specification and any other relevant information about the scope of the role.
  6. Information about the organisation – including the range of services, the trust’s values and information about the senior team.
  7. Information about the NHS pension scheme and auto enrolment.
  8. A list of staff benefits – for example, flexible benefits packages, health and wellbeing initiatives, NHS discounts.
  9. Organisational policies that may be relevant for the new starter – for example, confidentiality policy, social media policy, information about the acceptable use of IT and mobile phones.
  10. Information on employment checks requirements. Read our guidance on employment checks to understand why these are required.
  11. A copy of the new starter’s team structure.

  13. The ThinkFuture jargon buster document. This document helps to explain some of the terms in standard contract documents.
  14. Information regarding hours. It may be helpful to provide a rota for their first week if they are working shifts, or let them know when they can expect to receive this.
  15. Uniform and dress code information. If there is a uniform, include information about where they can get it from and if not, the dress code for the team they will be working in.
  16. General information about the site they will be working on – for example catering facilities, car parking availability and cost, local public transport links.
